How to Send a Power of Attorney (POA) to India from the US

How to ship a Power of Attorney to India from the US: packaging, the correct customs declaration, carrier transit times, and the address details that matter.

If you're sending a Power of Attorney to India, the document itself is usually the easy part. A notary or the Indian consulate has already told you how to get it signed, witnessed, and attested. What nobody walks you through is the twenty minutes after that: how to package it, what to write on the customs form, and which courier detail will actually get it held at a sorting facility in Mumbai for two weeks. This is that part.

Get the document into shippable shape first

Before any of this matters, the POA has to be valid for use in India, and that's a legal step, not a shipping one. In practice there are two routes: sign it in front of an Indian consular officer (through VFS Global) with two witnesses present, or sign it before a US notary with independent witnesses and then get it apostilled by your state's Secretary of State. An apostilled POA is accepted in India without further consulate attestation; a POA signed at the consulate doesn't need the apostille step. Either way, once it's stamped and signed, the clock that matters starts on delivery, not on signing — several property-related POAs need to be presented for stamp duty adjudication within a fixed window after the document reaches India, so shipping it promptly is part of the process, not an afterthought. (This isn't legal advice — confirm the specific attestation route and any registration deadline with your attorney or the consulate before you ship.)

Package, seal, and address it

  1. Photocopy or scan it before you seal anything. If the original is lost or held at customs, this is the only proof you have of what was sent.
  2. Use a rigid or reinforced document mailer, not a soft envelope. It doesn't need to be a box, but a flat mailer protects an apostille or notary seal from creasing and keeps the pages from shifting.
  3. Don't staple through the signature block or the seal. A binder clip or a plain paperclip holds multi-page POAs together without damaging anything a registrar might scrutinize later.
  4. Write the recipient's full address on the envelope itself, exactly as it appears on the label. Labels do come off in transit. If that happens, a matching address inside is what keeps the package from being stranded.
  5. Seal it completely — tape every edge, not just the flap. Loosely sealed document mailers are one of the more common reasons for a customs officer to open and inspect a shipment by hand.

Carrier breakdown: DHL, FedEx, and UPS

All three carriers move documents to India reliably; they differ mainly on transit time and how they price a shipment this light.

CarrierTypical transit, US → IndiaNotes
FedEx International Priority2–5 business daysThe fastest of the three for most routes; what Shipbird's discounted Envelope rate runs on
DHL Express Worldwide2–4 business daysComparable speed to FedEx, strong coverage in Mumbai, Delhi, and Bangalore
UPS Worldwide Saver4–7 business daysUsually the slowest door-to-door option of the three for this route

At retail counter pricing, whichever carrier is cheapest that week depends on exact weight and origin ZIP code, and it shifts often enough that comparison-shopping a one-page document rarely pays for the time it takes. That's the specific problem a wholesale rate solves: one predictable price on a fast service, without re-shopping three carrier websites for a shipment this small.

Declare it correctly, or expect a hold

This is where most delays actually happen, and it has nothing to do with the document itself. On the customs declaration, a POA, affidavit, sealed transcript, or diploma should be declared as "Documents / Business Papers of No Commercial Value" with a declared value of $0. It has no resale value and isn't merchandise, even though it's legally significant. Declaring a dollar figure, leaving the value blank, or writing something vague like "legal papers" is what gets a shipment reclassified as a commercial import — which means a commercial invoice requirement, a duty assessment, and a hold until someone resolves it. None of that applies to a document with no commercial value, but only if the paperwork says so clearly the first time.

Address details Indian customs and couriers actually check

Two details cause more delivery failures than everything else combined:

  • The 6-digit PIN code, not a 5-digit approximation. Indian postal codes are always six digits. A truncated or transposed PIN code is one of the most common reasons a shipment sits at the wrong regional hub.
  • An active recipient mobile number, entered as a plain 10-digit number — no leading 0, no +91 prefix. FedEx and DHL both use it to text delivery updates and coordinate final-mile delivery, and a missing or malformed number slows down exactly the last leg of the trip you most want to go smoothly.

For anything going to a smaller town rather than a metro area, adding a nearby landmark in the address line (a bank branch, a well-known intersection) still helps last-mile couriers who don't fully trust GPS pins in less-mapped areas.

Where Shipbird fits

This is the one shipment where you don't need Shipbird's Austin hub at all — a POA never has to touch it. Envelopes is built for exactly this: flat documents up to 1 lb, shipped straight from your own US address on Shipbird's discounted FedEx Express rate, with no account required. Enter both addresses, get an instant quote, and pay once. The label lands in your inbox as a PDF within 24 hours — not instant, since it's prepared by hand against Shipbird's own FedEx account, which is what keeps the rate below what you'd pay at a retail counter. Print it, tape it to your mailer, and drop it at any FedEx location.

If you're shipping something heavier alongside the POA — a full property file, printed contracts, or anything over a pound — that's a job for Package Forwarding instead, not the Envelope service. And if India-specific customs and address questions extend beyond this one shipment, the full guide to shipping to India covers the broader picture.

Frequently asked questions

Do I need to declare a customs value for a Power of Attorney?

No. A POA, affidavit, or transcript has no commercial value, so it should be declared as Documents / Business Papers of No Commercial Value with a $0 value. Declaring any dollar amount or a vague description like "papers" is what typically triggers a commercial hold.

Can I fold the POA to fit a standard envelope?

Most couriers accept a folded document without issue, but avoid creasing directly across a notary seal, an apostille, or an embossed stamp. A rigid or reinforced document mailer avoids the question entirely and costs almost nothing extra.

How long does it actually take to reach India door to door?

Transit alone typically runs 2 to 5 business days on FedEx International Priority once the shipment is scanned in. Add label prep time on services that don't print instantly, and 3 to 6 business days door to door is a realistic total.
